How to Book
All tours announced on this website are organised by local travel agents who are based and operating in the countries to be visited. Booking can be made directly through these local travel agents. Name and contact details of the relevant local travel agent are available for each tour through the link Tour Organised By.
Specific Booking Forms can be downloaded for each tour through the link Booking Form for this tour. Binding bookings can be made only by using these forms.
Please note that the announced prices and conditions apply only if the tours are booked directly from the responsible local agent. Bookings through other travel agents may involve additional costs.
The MWNF Travel Info Desk is available to provide information and to facilitate contact with our local partner travel agents.
This is how we operate:
You contact the MWNF Travel Info Desk by email, choosing either the general Info Desk providing information about all MWNF tours or, where available, one of our local Desks providing information about tours in a specific country. Please don't forget to include in your email your full name and a contact phone number. A member of the MWNF Travel Info Desk team will then get in touch with you to provide the requested information and to facilitate contact with the responsible local travel agent who will be handling the booking and further follow up.
The MWNF Travel Info Desk team remains at your disposal at any time for assistance and information.
In order to make your booking you will then be asked
• To complete and sign the relevant Booking Form (see relevant links in tour descriptions) and to send it by mail, fax or email to the local travel agent in charge of the tour with a copy to the general MWNF Travel Info Desk.
• To transfer a deposit of 20% of the price of the services booked to a joint MWNF Travel Platform account. The deposit will be held on account until the tour starts. Please note it is non-refundable if you cancel the trip for any reason. For further details please refer to Terms & Conditions.
The balance (80%) has then to be transferred not later than 60 days before arrival or on booking if within 60 days, directly to the account of the local partner travel agent operating the tour. To do this you will receive a letter from the local travel agent including details of the final tour programme, names and contact details of all hotels and the name of your guide or tour lecturer and a confirmation invoice for the full amount (20% + 80%) giving the bank details to transfer the balance: name and address of the bank, SWIFT code and IBAN.
On the occasion of the payment of the balance you will be asked to provide a list of all participants including full names and passport details, international flight details for all participants and to notify insurance details.
Prices and Booking conditions
The prices announced on this website apply to bookings made directly through the responsible local travel agent. Prices normally include accommodation on a bed and breakfast basis in 3- and 4-star hotels, tour internal transportation including transfers from and to the international airport, the services of a specialist guide or tour lecturer throughout the tour and entrance fees as per itinerary. All other meals (except where specified in the programme), international transportation to the first and from the last destination, and insurance are not included in the announced prices.
Please keep in mind that the prices announced on this website might be subject to minor increases as a result of local government actions or unforeseen events. The final prices will be confirmed at the time of confirming your booking.

Arrival / Departure
On the confirmation of your booking and in any case not later than 60 days before arrival you will be asked to inform the local travel agent about your arrival and departure dates and times so that transfers from and to the airport can be arranged. The costs of these transfers are included in the announced price, provided all participants arrive / depart on the same flights.
On your arrival a representative of the local partner travel agent will welcome you at the airport and will accompany the group to the first hotel on the tour programme. Normally the representative of the travel agent will meet you in the arrival lounge, after passport control. In some countries travel agent representatives are allowed to enter the customs area; in those cases you will meet the representative before passport control; the concrete procedures will be confirmed by each travel agent.
On departure day a representative of the local travel agent will accompany the group to the airport and assist you until each member of the group has gone through passport control.
International flights and Insurance
International flights to the first and from the last destination as well as insurance are not included in the prices announced on this website.
International flights have to be booked separately by each traveller or group. Our partner travel agents can provide advice or assistance if needed.
Travel insurance is compulsory to participate in any of the tours announced on this website and it is the responsibility of each traveller or group to make the necessary arrangements.
Our partner travel agents require all travellers to take out adequate insurance against the usual risks and will ask you to provide the name, policy number and emergency contact numbers of the insurers of each group member at the time of making the payment of the balance for the booked tour.
Accommodation
The prices announced on this website are based on accommodation in 3- and 4-star hotels. On the request of the traveller / group other categories can be arranged by our local partner travel agents, depending on availability.
Meals
The announced prices include breakfast at the hotel. Other meals are normally not included except where specified in the Price Information. Groups can decide for themselves how much time and budget they wish to allocate to this aspect of their travel. Our local partner travel agents will tell you about the different options and your group's requirements can then be agreed before confirming the booking of a tour. In addition, during the tour the guide or tour lecturer will also be available to advise on the spot.
Tour internal transportation
Tour internal transportation is included in the price. Unless otherwise specified, modern, high-standard coaches will be used for internal transportation. Our local partner travel agents will do their best to provide coaches with more seats than are actually needed in order to make journeys as comfortable as possible.

Passport, Visa and Health requirements
It is the responsibility of each traveller or group to take care of passport, visa and health requirements. Our local partner travel agents will advise you on the necessary documentation but it is your responsibility to ensure that you are in possession of valid and correct paperwork.
However, for some countries and nationalities visas can be arranged on arrival. Please refer to the relevant page in each tour description or contact the responsible local travel agent.
Tour programmes
The tours announced on this website are planned with immense care, with consideration being given to many factors such as site and museum opening hours, road conditions, journey times and the availability of refreshments. The tours will operate as far as possible as they are described on the website and in the final programme that will be sent to the traveller / group not later than 60 days before departure. However, sometimes situations arise due to circumstances that are beyond the control of our local partner travel agents operating the tours and which necessitate alterations to the itinerary or programme. Our local partner travel agents will do their best to replan the tour to minimise any adverse impacts of changes.
Alteration or cancellation by the traveller / group
Should you wish to make changes to your booking after having sent the Booking Form the local travel agent operating the tour will do its best to accommodate your request but it might not always be possible. For any change the local travel agent is entitled to charge an administration fee of € 20 per person and any further costs incurred in making the requested alteration.
Confirmed bookings are not transferable. If you wish to cancel your booking, you are asked to give written notice to the local travel agent operating the tour with copy to the MWNF Travel Info Desk. The following charges will apply depending on when written notice is received:
Up to 45 days before departure: 30% of paid balance.
Up to 30 days before departure: 50% of paid balance.
Up to 15 days before departure: 70% of paid balance.
Up to 3 days before departure: 90% of paid balance.
Less than 3 days before departure: 100% of paid balance.
Please note that the deposit is not refundable.
Should your cancellation be motivated by events or circumstances that are due to 'force majeure' according to the recommendation of the government of the country to be visited, all amounts paid until then will be refunded, except the deposit. Recommendations made by other governments will not be considered in this context.
Alteration or cancellation by the local travel agent operating the tour
The local travel agents will not cancel a tour or make any significant alteration to the programme unless it is necessary due to 'force majeure' according to the recommendations made by the local government of the country to be visited. Under these circumstances, if the tour is cancelled all amounts paid until then will be refunded, except the deposit. There will be no refund if the group accepts a significantly altered programme (the local travel agent will make every attempt to provide an appropriate alternative).
The local travel agents operating the tours reserve the right to make reasonable and minor alterations to any part of the itinerary or replace the nominated guide or tour lecturer with another suitable person.
Responsibilities
Responsibility of the Traveller / Group:
1. Booking of international flights to first and from last destination.
2. Travel insurance.
3. Passport.
4. Visa (except where specified differently).
5. Personal health requirements.
Responsibilities of the Local Travel Agent
1. Preparation and organisation of the tour.
2. Quality of services during the tour as specified in the programme including services provided by sub-contractors and suppliers.
Responsibility of MWNF
1. Accuracy of the information provided on the website.
2. Quality of the services provided by the MWNF Travel Info Desk team.
MWNF does not, however, have any responsibility for the organisation and implementation of the tours and can under no circumstances be held responsible for any event that occurs during the tour.
It is specifically pointed out that neither the local partner travel agent nor MWNF accept liability for death, body injury or illness caused to a participant or to third parties during a tour.
Law and jurisdiction
The place of law and jurisdiction will be the place of legal registration of the local travel agent organising the tour.
Specific Booking Forms can be downloaded for each tour through the link Booking Form for this tour. Binding bookings can be made only by using these forms.
